For Plenary and Invited Speakers

What is the format for plenary and invited speaker presentations? The speakers will give their presentations live. An additional PDF and/or dataset is optional. Plenary and invited presentation times can vary, but plenary presentations should not exceed 45 minutes to allow for a 15-minute Q&A, and invited presentations should not exceed 25 minutes to allow for a 5-minute Q&A.

When will I receive instructions for my live presentation? You will receive an e-mail from TMS with a link for your specific talk as well as instructions to access your live presentation on June 22, 2021.

Can I test my audio and webcam settings before my live presentation? Yes! Once you receive the link to access your live presentation, you will be able to test your audio and webcam settings.

How early can I join my live presentation? You can join up to 15 minutes prior to the start time of the live presentation and will be able to test your audio and webcam settings at that time.

For Contributed Presentation Speakers

What is the format for contributed presentations? All contributed presentations will be pre-recorded and uploaded to the Whova platform. Files must be submitted as MP4s. In general, contributed presentations should last no more than 20 minutes. An additional PDF and/or dataset is optional.

How do I submit my recorded contributed presentation? Upload instructions will be emailed to all presenters by Tuesday, June 15.

By what date do I upload my presentation online? All pre-recorded presentations must be uploaded by Tuesday, June 22, 2021.

For Poster Presenters

What is the format for poster presentations? Presenters should provide the poster in PDF format. An additional pre-recorded video, submitted as an MP4 file and up to 20 minutes long, is strongly encouraged. Any additional visual aids which might clarify the results of your own work are encouraged. These can include diagrams, charts, figures, illustrations, etc. However, do not post your paper text. Note that graphics should be simple, colorful, well-labeled, and clear. Please note that attendees can download PDFs from the Whova platform.

How do I submit my poster presentation? Upload instructions will be emailed to all presenters by Tuesday, June 15.

By what date do I upload my presentation online? All poster presentations must be uploaded by Tuesday, June 22, 2021.

General Information for All Attendees

What browser should I use to access the Whova platform? The Whova platform will work in Google Chrome and Mozilla Firefox browsers.

How can I communicate with participants during my session? A Q&A message board and chat feature are assigned to each presentation. You can interact with 3DMS 2021 attendees with questions or comments about your presentation on this message board. You can also direct message individual attendees within the Whova platform.

How early will pre-recorded presentations be available to view? Pre-recorded presentations and materials will be available to view on June 22, 2021.

How long will presentations be available to view? Presentations will be available to view through July 31, 2021.

Is a PowerPoint template or video background available? A 3DMS 2021 Virtual PowerPoint template and video backgrounds are available here. The PowerPoint template and backgrounds are not required, so you can use your own, if you prefer.

How do I protect my presentations from being saved or recorded by others? Within the meeting platform, videos may be viewed but not downloaded. Please note, if you upload a PDF to the Whova platform, it is possible to download the PDF. You are not required to upload a PDF. Similar to an in-person conference, during the registration process all attendees are asked to agree to not save or record presentations from the conference.

Time Zone Considerations

Due to time zone issues, do I have to be available at the date/time of my pre-recorded presentation? Contributed presentation speakers are asked to join their session’s live video discussion to answer questions. They should also monitor their presentation’s message board throughout the duration of the event.

In which time zone will 3DMS 2021 Virtual take place? All presentations and events will be scheduled in Eastern Daylight Time (UTC-4:00). Use this Time Zone Converter as a helpful tool for your schedule.
