ON-CAMPUS HOUSING ACCOMMODATIONS

The University of Virginia is proud to house the 1998 EMC participants. Accommodations in Brown Residential College are available adjacent from the meeting space. Overflow housing in Lambeth Residence Area is available within a 10 minute walk to the meeting space. The deadline of May 24, 1998 for receiving requests has passed, reservation forms will still be accepted but housing is not guaranteed. There is also a $25.00 late registration fee for all reservation forms received after the deadline. Guests will receive a written confirmation from Conference Services confirming their reservation. This confirmation will also include information and a map to their housing check-in location. Standard check-in time is after 1:00 p.m. and standard check-out time is before 10:00 a.m. If a guest does not vacate their room by 10:00 a.m., they will be charged for another night. There will be no room changes at the time of check-in. It is important to apply early for on-campus housing.

DESCRIPTION OF RESIDENCE AREAS

Brown College Residence Hall: Air-conditioned suites. Each suite has two bedrooms with one single bed, desk, nightstand, and dresser in each room, one guest per room (two guests per suite). Each suite shares a bath with one to three other suites. Each bedroom has one phone with a private, toll restricted line and voice mail; guests must use a calling card to make long distance phone calls. The rooms are not equipped with alarm clocks and the Conference Services office does not provide wake-up calls. There are two lounges inside the facility for small gatherings; one lounge is equipped with a full-size kitchen. No utensils are provided. Vending machines, a laundry facility and a computer lab are also available inside the resident area.

Lambeth Field Residence Hall: Two and three bedroom air-conditioned apartments. Each bedroom has two single beds, two wardrobes, and two desks. Each bedroom also has one phone with a private, toll restricted line and voice mail. Guests must use a calling card to make long distance phone calls. The rooms are not equipped with alarm clocks and the Conference Services office does not provide wake-up calls. Each apartment has a living room, dining room, and kitchen. The two bedroom apartments have one and a half baths and the three bedroom apartments have two full baths. No utensils are provided. Vending machines, a laundry facility and computer lab are also available in the Lambeth Field residence area.

HOUSEKEEPING SERVICES

Premium Service will be provided Monday through Saturday. Beds are furnished with a mattress pad, pillow, blanket, bedspread, and linens which includes one pillow case and two sheets. Linens will be changed once per week for guests staying for five or more nights. Guests will also be provided with two bath towels, a washcloth, a bath mat, a cup, and soap daily. The housekeeping staff will remove trash from the bedroom and common areas, and sanitize the bathrooms daily. Personal belongings must be removed from common living areas and common baths in order for the housekeepers to clean. Housekeeping will deny service to any guest who does not comply with this request. Guests may not ask the housekeepers to return at a later time. Doing so will amount to refusal of housekeeping services for that day.

POLICIES

Parking: Guests who plan to drive to the conference and park near their housing area must purchase a parking permit when they check-in. Commuter permits will be available at the conference registration site.

Key Deposit: If a guest does not include a credit card number with their reservation form, then they will be required to leave a valid Visa or MaterCard number when they check-in. The guest's credit card will be charged automatically if the guest does not return their keys to the Conference Center. Conference Services will not accept any keys mailed back to the conference office. All guests must return their keys at check-out. Key replacement charges for Brown Residence Hall are $49.00 per room key and $27 per access card. Key replacement charges for Lambeth Residence Hall are $61.00 per apartment key and $49.00 per room key.

Pet Policy: No pets are allowed in the residence areas. If a guest arrives with a pet, they will be denied housing. There will be no refunds given under these circumstances.

Payment/Cancellation: Payment in full must be included with each reservation form. Guests who fax their reservation must include a credit card number (Visa or MasterCard). Guests who mail their reservation form may pay by check or credit card. Do not send cash in the mail. Cancellation notifications must be received by Conference Services at least 7 working days prior to the guest's arrival in order for the guest to receive a full refund. No refunds will be given after this time. Refunds may take 4-6 weeks to process if the guest pays by check; credit card refunds will be credited within 48-hours. HOUSING PACKAGE PLANS

We offer the following standard package plans to provide planning flexibility and the option to attend both DRC and EMC. All residence full package plans include full meal service as listed. Residence hall rooms without meals are not available. No refunds will be made for unused bed nights or meals. No adjustments for lodging or meals will be made for late arrivals or early departures from the chosen package. All meals listed will be served in Newcomb Dining Hall during the following hours:


Plan A: Cost is $119.81, and includes lodging Tuesday through Thursday nights and the following eight meals in the Newcomb Dining Hall:

Tuesday, June 23--Dinner only
Wednesday, June 24--Breakfast, Lunch, and Dinner
Thursday, June 25--Breakfast and Lunch (dinner is a separate ticket for EMC picnic)
Friday, June 26--Breakfast and Lunch
Please note that this package includes dinner on your arrival day, and food facilities close at 6:30 p.m. that evening. No refunds will be made for late arrivals or for missed meals.


Plan B: Cost is $83.94, and includes lodging Wednesday and Thursday nights and the following six meals in the Newcomb Dining Hall:

Wednesday, June 24--Lunch and Dinner
Thursday, June 25--Breakfast and Lunch (dinner is a separate ticket for EMC picnic)
Friday, June 26--Breakfast and Lunch
No refunds will be made for late arrivals or for missed meals.


Plan C: Cost is $197.02. This plan is designed for those planning to attend DRC and EMC. Plan C includes lodging Sunday through Thursday nights and the following 13 meals in Newcomb Dinging Hall:

Sunday, June 21--Dinner only
Monday, June 22--Breakfast and Lunch (dinner is a separate ticket for DRC picnic)
Tuesday, June 23--Breakfast, Lunch, and Dinner
Wednesday, June 24--Breakfast, Lunch, and Dinner
Thursday, June 25--Breakfast and Lunch (dinner is a separate ticket for EMC picnic)
Friday, June 26--Breakfast and Lunch
Please note that that this package includes dinner on your arrival day, and food facilities close at 6:30 p.m. that evening. No refunds will be made for late arrivals or for missed meals.


Meals for Commuters:

Breakfast: $5.50
Lunch: $6.95
Dinner: $8.25 (except Tuesday and Thursday)
Commuters may pay cash at the door for meals at the Newcomb Dining Hall.


Accepted Methods of Payment: Payment for meal services must be made in U.S. funds. Diners may pay by personal check or money order. Checks must be drawn on a U.S. bank and made payable to the University of Virginia. Checks and Money Orders must be enclosed with registration form. Credit cards accepted are VISA or Master Card only.

OFF-CAMPUS HOUSING

Conference attendees may make reservations at hotels or motels listed below. Arrangements have been made for rooms at special rates for conference attendees. Reservations will be on a first come basis and can be obtained only if space is available. The blocks of room listed at the hotels below are being held until May 21, 1998. The conference takes place during many special events that will take place in Charlottesville during the dates of the conference and rooms may not be available if you do not act promptly.

Rates do not include tax and some are within walking distance of the campus. You will be asked for either first night payment in advance or current major credit card account number to hold your room. Rates listed are per night. Visit the Charlottesville lodging map for locations.
